POSITION: Administration/Billing Clerk
SHIFT:  Full Time


This position serves as support for the Administration and Billing Departments and serves as an extension of the department(s), assisting with clerical tasks and administrative projects, and billing.  Responsible to assist in all aspects of customer service, personnel records and minor accounting tasks.  This position serves as the primary secretarial support and assists other Billing Team members as necessary or assigned.

  • Receives, screens, routes incoming phone calls and takes messages to/for the appropriate person in a timely manner
  • Acts as the first point of contact for visitors and callers in Administration.
  • Conducts self in a professional, positive, caring behavior towards patients, co-workers (departmental and hospital wide), visitors, and providers.
  • Demonstrates professionalism and interest in work by main­taining acceptable work habits and behavior.
  • Assists with HR tasks as assigned including but not limited to: new employee badges and replacements, filing of personnel documents, monthly and quarterly OIG/SAM/Medicaid exception reports.
  • Orders and assists with maintaining adequate supplies on hand for business purposes.
  • Must be highly effective at problem solving techniques and have the utmost regard for human decency and fair treatment.
  • Maintains strict confidentiality regarding knowledge of all patient information, staff and hospital business.
  • Completes various projects and other duties as needed in support of all Administration functions.
  • Compiles and sorts documents, such as invoices and checks, substantiating business transactions.
  • Claims review and post Self-Pay payments.
  • Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.
  • Reconciles general ledger accounts with various registers and/or reports discrepancies and problems to CFO.
  • Assists employees, vendors, clients, or customers by answering questions related to accounts, procedures, and services.
  • Responsible for making bank deposits when needed.
  • Demonstrates the ability to be flexible and organized
  • Assembles materials for meetings, reports, and special projects as requested
  • Collect and receipt patient payments via telephone.
  • Creates hospital flyers and documents and distributes when necessary.  May also include laminating of materials.
  • Schedules hours for administrative office, conference room and other meeting rooms and coordinates meeting times for same, adheres to scheduled times.
  • Assists other Administrative personnel as requested/directed such as Nursing, etc.
  • Assist with Performance Improvement project for the department
  • Other duties or projects as assigned.


Qualifications, Education and/or Experience:

  • Basic Clerical skills of:
    • Filing
    • Calculation
    • Organization
    • High School Diploma
    • Typing, filing, and clerical skills.
    • Two years previous customer service experience preferred.
    • Must be able to write legibly, clearly, and concisely.
    • Experience with Microsoft Office software required.
